here's what I do:
1. Put a semaphore file to indicate that you are backing up, so that no other user try to open files in the process.
2. Check that none of the files are in use by any user.
3. run a basic maintenance routine, for example to pack memos (only memos to keep deleted records)
4. Backup all files (except the semaphore one) with a ZIP library. There are plenty of ZIP libraries. DynaZip is one of the most used and complete; I use BigSpeed.
5. Delete the sempahore file to let users access the files.
Of course, the first thing you have to check when starting the application is the existence of the semaphore file. If one is present, alert the user to try again in a few minutes.
