This is a hard one, Denis, because a lot depends on the application itself. I don't know of any samples on the web to show you, but here are my suggestions from my own experience.

First the "easy" questions: Use a font that you find easy to read and use a fontsize that won't present problems to someone with aging eyesight - at least 10, maybe 12 point.

If you have more than 1 or two items to tell the reader about use numbered or bullet lists. MUCH easier to read and remember.

Start each section on a new page with boldfaced/larger headings.

If you have more than about 10 pages include a table of contents, and be sure you have "Page n of nn" on each page.

I use 4 parts (excluding the TOC).

Part 1: A VERY brief introduction - half a page or less, explaining the overall purpose of the application

Part 2: Overview - A paragraph for each section of the application. You'll expand on each of these sections in Part 3, but you might include "Company Data", "Invoice Headers", "Invoice Details" and "Customizing the Application" for example.

Part 3: Detailed information - a complete description of each item in Part 2. Here's where you use screenprints (I use a freeware app called Screen Rip) with good-looking data to show the user how easy your app will be to use, shortcuts for easy data entry, etc.

Part 4: Summary - no more than a page, since it basically repeats what you've already said.

I always put costs, scheduling, etc. into appendices, and mark them CLEARLY as subject to change. Sometimes you want this information in the preliminary document, sometimes you don't.
